职位描述

该职位的职责如下但不仅限于:
The position will entail the following responsibilities but not limited to:

Part A. 销售进程支持Sales Process Support
 为销售团队提供高质量的行政助理支持。
Work closely with sales team to provide a high quality admin support;
 提供行政支持(包括起草报价、整理酒评、为合同整理基础数据等)。
Admin support (quotation drafting, tasting notes filing and contract drafting for basic data);
 输入订单信息(包括控制最小订单量、预付款控制、客户信息、产品信息、定价金额、客户或者销售的备注等)到公司软件系统(目前是SAP B1), 确保信息百分百准确。
Enter the sales order data (including M.O.Q control, prepayment control, customer information, product information, pricing amount, comments from customers or sales managers, etc.) to the company software system (currently SAP B1) and ensure the information 100% accurate;
 为确保所有合同有效和邮寄合同等,检查和整理合同,监管失效日期。
Contract check and filing, and monitor expire date in order to keep all the contracts valid, deliver contract etc.
 协同财务团队就销售日期和客户信息进行检查。
Account check with financial team regarding the sales data or customer’s information;
 接听销售部电话并转达信息给相关销售经理
Sales department phone calls reception and pass the information to the relevant sales managers;

Part B. 订单追踪和库存控制Order Tracking & Inventory control
 根据销售经理要求,提醒客户付款到公司。
Remind customers for the payment to the company once the sales managers have the request;
 处理追踪销售订单,如订单发货、单号、查库存。
Handle Sales orders tracking like orders delivery, tracking orders, checking inventory;
 在紧急时期,同其他销售行政分担助理工作,轮岗确保适应不同工作要求,以便能提供更好的跨渠道支持。

Share with the other sales admin on the sales orders management in the emergency period, seasonal rotation to ensure been practiced all different roles in order to give better support cross the channel .
 同北京/成都的第三方仓库核查每日出入库数据。
Verify the inventory in/out daily data with 3PL Warehouse for BJ/CD.
 在SAP B1系统中收货,为每周调货计划做支持 (北京/成都)。
Goods receiving in SAP B1 and backup for weekly transfer plan preparations (BJ/CD).
 按月收集客户签字回单。
Collect Signed DO on monthly basis.

Part C. SAP 系统操作SAP operations
 针对不同统计目的生成销售报告。
Generate sales reports in line with various statistics purpose.
 录入和维护客户数据,确保所有信息完整、更新和正确。
Input and maintain customer database and ensure all information is complete, updated and correct.

Part D. 其他 Others
 持续学习葡萄酒,充分理解销售/客户要求,以便提供优异的内部服务。
Continuously learning wines and fully understand sales/customer request so as to provide advanced internal service;
 其他直线经理安排的工作。
Other duties to be assigned by line Manager.

任职要求:
• 专注于客户服务Customer Service Focused
• 肯干、抗压、独立性强,在紧迫时间内完成工作任务Can-do attitude, can cope with pressure, work independently & deliver within tight deadline
• 作为团队成员之一,实现公司的整体目标Also a team player to achieve company’s overall target
• 熟悉微软办公软件,尤其是Excel (Vlookup, 透视表等) Proficient in MS Office applications, especially Excel (i.e. Vlookup & Pivot Table)
• 熟练使用SAP系统优先考虑Proficient in SAP experience would be an advantage
• 中英文良好为佳Good command of spoken & written English & Chinese is a plus
